Question from respected colleague:

I have about 75-100 funds I follow in the Large Cap Blend category. I'd like to get their results into Excel, but they're mixed all through the rankings and exports are limited to 50 funds at a time. Is there some simple way to set this up so that I'm not always searching for my funds for my quarterly exports?


Answer from Felix:

Of course K4 Fund Selection has a way to make your task easier! You can set it up once and then simply run your quarterly exports. Here’s how:

Start by locating each of your funds using the “Find” link at the top right of the Results Page. (Yes, yes, this is exactly what you wanted to avoid, but you’ll only have to do it once.) Simply click on “Find” and type in the first part of the fund’s name or its ticker. K4 will return a list of funds matching your entry with those included in the scenario designated with a blue star. When you click on the fund and share class you’re looking for, you’ll see the fund’s ranking and below that you’ll see a list of its available reports. Click on “K4 Summary,” which will designate the fund to be included in the Summary Report. Click “Cancel” on the next screen, then “Previous” on the next. This will take you back to the Find page where you can repeat the process for your next fund.

Once you’ve found all your funds and designated them for the Summary Report, change the sort order to “Selected for Summary Report.” This will bring all your funds to the top of the list. Change the number of funds displayed on the Results Page to 50 – the maximum number you can export at one time. Click on the check box under “Export” at the top of the results listing. This will select all 50 funds displayed on the page for export. Click on “Export to Excel” at the bottom of the page to bring the funds and their data directly into Excel. Now you’ve taken care of your first 50 funds.

 

To get the next 50, click on the “x” box under “Export” at the top of the results page. This will clear all the checkmarks in the Export column. Now go to the second page of results, which will display the next 50 funds. Click on the check box under “Export” at the top of the results listing, which will again select all 50 funds on the currently displayed page. If you don’t want all of them, simply clear the boxes next to those that aren’t needed. Click “Export to Excel” to bring these funds into Excel. If necessary, keep repeating this process until you’ve exported all the funds you need.

Next quarter when you want to export updated data, you won’t have to find all your funds again. They’ll be there waiting for you at the top of the results page since they’re all sorted by “Selected for Summary Report.” All you’ll need to do is repeat the export process as before. With just a little bit of work upfront, you’ll be in good shape for all the coming quarters.
